BIG NYC is looking for an Office & Community Manager

The Office & Community Manager will be responsible for the overall day to day experience at BIG NYC. They will report to the Managing Director and perform a number of tasks in support of the administration of the office and the preservation of the facilities. The ideal candidate will have a pro-active and organized mind-set, be big picture savvy with an eye for details, and be able to navigate a wide variety of creative personalities. They will also work with our Office & Community Managers in Copenhagen, London and Barcelona and will be tasked with organizing and coordinating globalized daily office operations to ensure efficiency and clarity between offices. More specifically, you will be also responsible for:

You will be responsible for:

  • Direct management of Office & Community team including training, support and delegation of responsibilities
  • Being the primary point of contact for all internal and external office inquiries
  • Liaising with building management
  • Inspection protocols
  • Collection of COIs and W9s from vendors and other guests
  • Managing external vendor relationships and agreements (Cleaning Staff, HVAC Maintenance, etc…)
  • All office events from planning and budgeting through execution
  • Administrative budget oversight and forecasting
  • Approval of invoices and timesheets
  • Space Curation
  • Basic maintenance (Changing lightbulbs, doorstops, resetting breakers, etc…)
  • Working with the Managing Director on implementing new office wide initiatives
  • Maintaining an updated Reception Guideline handbook
  • Handling ad hoc task requests from the entire staff

  • Has excellent interpersonal skills and written communication skills
  • Feels that no administrative task is too little or too great
  • Is a natural people-person who enjoys a busy and creative environment
  • Is fluent in English (Danish a plus!)
  • Is extraordinarily service minded, positive and trustworthy
  • Has several years of experience as an administrator with a creative company
  • Proficient in Microsoft Office Suite
